Privacy Policy

What we collect

• Account: name, email, profile picture (if Google sign-in).
• Practice data: questions answered, accuracy, streaks, bookmarks.
• Interviews: the questions, the text of your answers, per-answer scores and their rationale, the final report (including the AI-written debrief), and audit records — saved to our database and linked to your account. Names, emails and phone numbers are automatically masked in the saved transcript; short excerpts of your answers quoted in the report may be saved unmasked, and code you write is saved as written. For each answer we also record technical details: the transcription method and its quality, your browser and operating-system type, and which AI models were used.
• Voice: with the default Web Speech engine, your browser transcribes your speech and may use its maker's online speech service; we receive only the text. With the Realtime · Whisper engine, each spoken answer is uploaded to our server and forwarded to Groq for transcription. We don't save the audio — only the transcribed text.
• Résumé and job description: used to tailor interview questions. They're sent to our servers and to our AI model provider, and aren't saved with your interview record. While an interview runs they're held in server memory (until the server next restarts) and, where enabled, in an encrypted temporary record that is deleted when the interview ends or after 24 hours of inactivity.
• Interview profile: after each graded interview we keep a summary of your scores, strengths and weaknesses, and the questions you've been asked, linked to your account, so later interviews can build on it.
• Usage analytics: which pages you visit and which features you use, so we can see what's worth building. Recorded with the text stripped out — we see that a button was clicked, never what it said, and never the content of your answers, résumé, or scores.
• Session replay: we record how the page was used — where you clicked, what you scrolled, how long a step took — so we can find where the product is confusing. It is masked at the source: every text field and every piece of on-screen text is blanked before the recording leaves your browser, so your résumé, your answers, the questions and your scores are never in it. Your identity photo is excluded from recordings. Recordings are kept for 30 days.
• Payments: plan tier and status only. We never see card details — they stay with the payment processor (Stripe, PayPal, or Razorpay).

What we don't do

• Your webcam video and identity photo stay on your device — recorded only for your own session playback and never uploaded to our servers.
• Integrity-monitor signals (tab switches, paste events, face checks) are computed in your browser and aren't sent to us.
• No selling your data, and no sharing it with advertisers.
• No third-party advertising trackers.
• Protected characteristics are never used to score you.

Where your data lives

Account, progress, and interview data are stored in our managed Postgres database (Neon). The service runs on Fly.io, with caching at Upstash. Your answers, and the résumé or job description you provide, are sent to third-party AI model providers to run and score the interview — Groq by default, or Poolside if you choose a Poolside model — and their handling of that data is governed by their own terms. Scoring reads your answer as you gave it; masking applies to the saved transcript. Errors are reported to Sentry with personal data scrubbed. Usage analytics and session replay are processed by PostHog (US), which sets a cookie to recognise return visits. IP addresses are anonymised before storage.

How long we keep it, and who can see it

Interview records are kept until they're deleted — we don't currently delete them on a schedule. Your interview profile is kept until you delete your account. Our administrators can view interview records, to review scores and handle appeals.

Automated decisions

AI interview scores are advisory only — a human makes any real decision. In line with NYC Local Law 144 and the EU AI Act, each scored decision is recorded in a tamper-evident audit log. To request a human review or appeal a result, email support@interview-prep.academy.

Your rights (GDPR / CCPA)

• Access / export: email support@interview-prep.academy from your registered address — including copies of your saved interview records.
• Delete your account: from your account page. This immediately deletes your account, practice progress and interview profile. Saved interview records aren't yet removed automatically — email support@interview-prep.academy and we'll delete them.
• Cancel: anytime from your account.

Children & changes

Not directed at children under 13. We may update this policy — material changes are emailed to active users.
